This Privacy Notice explains how Him For Her, Inc. (dba illumyn Impact) and its affiliate illumyn, Inc. (together, the Companies “we,” “our,” or “us”) collect, use, and disclose your personal information. This Privacy Notice applies to employees, contractors, applicants, members, sponsors and partners, executive and coaching clients, event attendees, and other individuals whose personal information we handle in connection with our business operations and services. This Privacy Notice also applies to our websites, https://www.illumynimpact.org, https://www.illumyn.co, and any other website that links to this Privacy Notice (our “Sites”) as well as to our events (“Events”), introductions, executive learning, development, coaching, and related services (collectively, our “Services”).

1. WHAT CATEGORIES AND SOURCES OF PERSONAL INFORMATION DO WE COLLECT AND FOR WHAT PURPOSE?

The personal information we collect about you depends on how you interact with us. Below is a list of the categories of personal information that we may collect from employees, contractors, applicants, members, sponsors and partners, executive and coaching clients, event attendees, and other individuals in connection with our operations and Services:

Information You Provide to Us Directly

  • Identifiers such as your name, title, phone number, location, biography, payment information, and e-mail address when you apply for employment or engagement with us, register for our Services, sign up for an Event, sign up for our mailing list, participate in a survey, fill out a form, or otherwise communicate with us.

  • Professional Information such as your job title, employment history, skills, education and qualifications, and any other information included in your resume or cover letter.

  • Communications between you and illumyn Impact and illumyn and any other personal information you provide to us in such communications.

  • Event Information. If you attend an Event, we may collect information from you in connection with your attendance (e.g., in an event participation release, or any other release in connection with any one of our Events).

  • Payment Information. illumyn, Inc., through its service providers, may collect credit or debit card numbers when you make a purchase from us.

Information We Receive from Third Parties

  • Corporate Affiliates. With your consent, we may receive personal information such as Identifiers, Professional Information, and Event Information from our affiliate entities illumyn Impact and illumyn, Inc. to provide coordinated services, such as board-level introductions, events, executive learning, development, coaching, and related opportunities.

  • Event Partners and Registration Providers. We may receive personal information including your Identifiers and Event Information from our vendors who help manage Event registration or related activities.

  • Social Media Platforms. We may obtain personal information that you choose to provide on public profiles on social media platforms like LinkedIn.

  • Sponsors and Partners. We may also receive personal information about members such as Identifiers from other sponsors, partners, or third-party services with whom we collaborate in connection with our Services or Events.

  • Public Sources We may collect personal information about you that is publicly available, such as from websites, directories, or public records.

Information We Collect Automatically Through Our Sites

  • Device Information and Other Unique Identifiers. For example, we collect information about your device and its software, such as your IP address, browser type, Internet service provider, platform type, device type, operating system, date and time stamp, a unique ID that allows us to uniquely identify your browser or mobile device and other such information.

  • Internet or Other Network Activity. We also collect information about the way you use our Sites, for example, the site from which you came and the site to which you are going when you leave our Sites, the pages you visit, the links you click, how frequently you access the Sites, whether you open emails or click the links contained in emails, whether you access the Sites from multiple devices, and other actions you take on the Sites.

2. COOKIES AND OTHER TRACKING TECHNOLOGIES

When you visit our Sites, we and certain third-party partners may automatically collect usage information through cookies and similar tracking technologies (collectively, “tracking technologies”). We may use analytics tools, such as Google Analytics, to help us understand how visitors interact with our Sites. Where required by applicable law, we obtain your consent before using non-essential tracking technologies. 3. HOW WE USE YOUR PERSONAL INFORMATION

We use your personal information for various business purposes, including:

  • Providing Our Sites and Services. We use your personal information to operate, maintain, and provide you the features and functionality of our Sites, Events, and Services, as well as to communicate directly with you, such as to send you email messages.

  • Operating our Events and Services. We use personal information in order to host and run our Events and to provide you with Services.

  • Workforce and Internal Administration. We use personal information of employees and contractors to administer employment and engagement relationships, including onboarding, payroll and benefits administration, performance management, training, internal communications, and compliance.

  • Communicating with You. We may send you service-related emails or messages (e.g., changes or updates to features of the Services, technical and security notices). We may also use information you provide to us in connection with an Event or Service in order to communicate with you in relation to such Event or Services (in accordance with the terms of event participation release).   • Analytics and Improvement. We use personal information to conduct research and analytics, including to improve our Services and to understand how individuals interact with our Sites and communications.

  • Security and Fraud Prevention. We use personal information to detect, investigate, prevent, or take action regarding possible malicious, deceptive, fraudulent, or illegal activity, including fraudulent transactions; attempts to manipulate or violate our policies, procedures, and terms and conditions; security incidents; and harm to our rights, property, or safety.

  • Legal Obligations. We use personal information to comply with our legal or regulatory obligations, to establish or exercise our rights, and to defend against a legal claim.

  • AI-Supported Operations. We may process personal information using approved commercial AI tools and AI-integrated features within approved business platforms to support the purposes described in this Privacy Notice, subject to internal controls and data-handling policies.

You are not required to provide us with any personal information, but if you do not provide us with personal information, we may not be able to provide you with Services, facilitate your participation in an Event, or otherwise engage with you. We do not use your personal information to make any final decisions about you based solely on automated processing.

We process your personal information for the above uses on the basis that: (i) where you have entered into a contract with us relating to such matters, because it is necessary for the performance of such contract; (ii) where you have provided your consent for processing, on the basis of that consent; or (iii) where the processing is not necessary for the performance of a contract and where you have not provided consent, because it is in our legitimate interests to do so in order to provide our Events, Services, and/or Sites , to manage employment and contractor relationships, (and such interests are not outweighed by your fundamental rights and freedoms). In some circumstances, we may also process your personal information where necessary for compliance with legal obligations to which we are

subject.

4. HOW WE DISCLOSE YOUR PERSONAL INFORMATION

We may disclose the following categories of your personal information with the following categories of recipients:

  • Our corporate affiliates: We may share your Identifiers, Professional Information, and Event Information with your consent across our affiliated entities (illumyn Impact and illumyn, Inc.) to deliver services, facilitate introductions, and offer opportunities that may be relevant to you.

  • Service Providers: Service providers that perform services on our behalf, as needed to carry out their work for us, which may include providing mailing services, providing tax and accounting services, web hosting, approved AI and technology tool providers, services in connection with introductions we make between our network members, and managing Event registrations and attendance. We do not allow our third-party service providers to use your personal information for their own purposes and enter into contracts that only permit them to process your personal information for specified purposes and in accordance with our instructions.

  • Other Event Attendees. To encourage connections beyond the event, we may share your basic contact information with others who attend our events provided you have consented to sharing such personal information.

  • Social Media Platforms and Networks. Our Sites may contain tools made available by social media platforms and networks that may result in information being collected or disclosed between us and such parties. Their use of your information is not governed by this Privacy Notice.

  • Third Party Analytics Providers: We may disclose your Identifiers, Device Information, and Internet or Other Network Activity collected through our Sites with these third parties to help us understand how visitors interact with our Sites.

  • Transfer of Control. We may also disclose personal information to third parties in connection with evaluating or carrying out potential corporate transactions, such as investments, acquisitions, sale of company assets or shares, reorganization, financing, change of control or acquisition of all or a portion of our business by another company or third party, or in the event of a bankruptcy or related or similar proceedings; and

  • Legal Process. We may share your personal information with third parties if we reasonably believe that such action is necessary to (a) comply with the law, a subpoena, and/or the reasonable requests of law enforcement; (b) to enforce our applicable terms and policies or to protect the security or integrity of our Sites, Events, or Services; and/or (c) to exercise or protect the rights, property, or personal safety, or where we believe it is in the legitimate interests of illumyn Impact, illumyn, our network members, partners, sponsors, or others.

We may also share information with others in an aggregated or otherwise anonymized form that does not reasonably identify you directly as an individual.

5. INTERNATIONAL TRANSFERS

We may transfer your personal information to jurisdictions other than the jurisdiction in which you are based. For example, your information may be transferred for processing in the U.S., even where you are not based in the U.S.

Where required under applicable law, we ensure a similar degree of protection is afforded to your personal information following such transfer, for example by implementing appropriate safeguards, such as standard contractual clauses approved for such use. 6. HOW LONG WE KEEP YOUR INFORMATION

We will only retain your personal information for as long as necessary to fulfill the purposes we collected it for, including legal, accounting, or reporting requirements. Once your data is no longer required, we will securely delete or anonymize it.

7. AI-SUPPORTED PROCESSING

The Company may use approved commercial AI tools and AI-integrated features within approved business platforms to support internal operations and the delivery of Services. As of the date of this Privacy Notice, the Company has approved certain tools in the commercial AI environment including, but not limited to Claude (provided by Anthropic). Such AI tools are administered through the Company’s commercial organizational account.

The Company processes personal information through approved AI environments subject to internal controls. Certain categories of sensitive information are restricted from AI processing or subject to heightened controls. The Company does not intentionally process personal information through unapproved AI environments and does not use AI tools for covert monitoring, surveillance, or behavioral profiling of individuals. Personal information processed through

approved AI tools may be retained as necessary to provide the service, consistent with the applicable provider’s commercial terms, our administrative settings, our internal retention practices, and applicable law. The Company seeks to limit optional provider use of such data beyond approved business purposes.

Where the Company uses approved AI-assisted recording, transcription, or meeting-note tools in connection with calls, meetings, or similar communications, it will provide advance notice and obtain consent from you where required by

applicable law or Company policy.

The Company may use approved integrations, connectors, or embedded AI features to process information already within approved business systems for specific business purposes, subject to internal controls and legal review where appropriate.

8. CONTROL OVER YOUR INFORMATION

How to Control Your Communications Preferences: You can stop receiving promotional email communications from us by clicking on the “unsubscribe link” provided in such communications. We make every effort to promptly process all unsubscribe requests. You may not opt out of service-related communications (e.g., transactional communications, changes/updates to features of the Service, technical and security notices).

Modifying or Deleting Your Information: If you have any questions about reviewing, modifying, or deleting your information, you can contact us directly at privacy@illumynimpact.org. We may not be able to modify or delete your

information in all circumstances. 

9. LINKS TO OTHER WEBSITES AND SERVICES

Our Sites and communications may contain links to third-party websites. Those websites have their own privacy policies, and we are not responsible for their privacy practices. We encourage you to review their privacy policies before providing personal information.

10. YOUR PRIVACY RIGHTS

Depending on your jurisdiction of residence and the nature of your relationship with us, you may be entitled to exercise certain privacy rights. The availability and scope of these rights may vary depending on applicable law, and certain rights may be subject to limitations or exceptions:

  • The right to know the categories and/or specific pieces of personal information collected about you, including the sources of your personal information, whether your personal information is sold or disclosed and the purpose, and the categories of third parties to whom your personal information was shared;

  • The right to request access to, and copies of, the personal information we hold about you;

  • The right to request deletion of personal information;

  • The right to object to our processing of your personal information or request that it is restricted in certain circumstances;

  • The right to receive your personal information or request that it is transferred to another organization in a structured, commonly used, and machine readable format;

  • The right to correct inaccurate personal information.

Authorized Agent and Verification. Only you, or someone authorized to act on your behalf, may make a request related to your personal information. To designate an authorized agent, please contact us as set forth in “How to Contact Us” section. To protect your privacy, we will ask for information to reasonably verify your identity or authority before fulfilling certain requests.
